Each platform carries its business criticality and the people who decide for it, so a request never has to ask who decides. Laptops, phones, and accessories also sit in their own catalog, tied to a platform or grouped into bundles.
Role-based entitlement
A job role decides who should hold it.
First, subscriptions map to primary and additional license roles and to Microsoft 365 security groups. Each person’s profile then compares expected licenses with their actual Microsoft 365 assignments: compliant, missing, extra, or unverified. Licenses outside Microsoft 365 stay unverified until the service desk confirms them in TeamJML AI or your ITSM integration.

Disabling an account does not free the license.
Blocking sign-in stops the login; the license stays assigned and stays billed until someone removes it. What closes the gap therefore depends on where the seat lives.

Subscription and license governance with either product
Do we need both products to use the catalog?
No. The catalog is available with TeamConnect AI alone, with TeamJML AI alone, or with both, although some details differ in each case. Mapping subscriptions and Microsoft 365 security groups to job roles needs TeamConnect AI, because that is where your employees and job roles are. When you run both, TeamConnect AI is the master.
Where do the Microsoft 365 figures come from?
From Microsoft Entra ID. Subscription Analytics reports Microsoft 365 subscriptions, assigned licenses, and unassigned licenses apart from the rest of the catalog, so your license management always shows which figures come straight from Microsoft 365 and which rest on a confirmation.
What license management saves, and how you buy it
Is wasted cost the same as a saving?
No. Wasted cost is the monthly cost of licenses nobody holds, in other words a review amount. It becomes a saving only when a purchase or renewal actually changes.
What does procurement have to approve?
Buy through Microsoft Marketplace or the Microsoft Teams Store under the Microsoft Standard Contract. No Cubeet amendments and no separate contract to negotiate. Choose your plan and user count, then complete your purchase through Microsoft. Eligible Marketplace purchases can count toward your Microsoft Azure consumption commitment, subject to your agreement and purchase route. Billing arrives on your existing Microsoft invoice.
SaaS license management with your existing tools
Does this replace our ITSM or identity governance tools?
No. TeamJML AI governs employee IT lifecycle requests, approvals, and completion records. Your IT team still carries out approved work through its existing provisioning processes. Afterward, your IT team confirms completion manually, or your connected ITSM system reports it. The lifecycle record keeps each confirmation and any recorded exceptions together.
Where is our data stored, and what runs outside Microsoft 365?
Your people and organization records are stored in SharePoint Online within your own Microsoft 365 tenant. TeamConnect accesses those records directly through Microsoft Graph, with no intermediary Cubeet database. TeamConnect AI adds processing hosted in Microsoft Azure for the AI agent and automated imports, exports, synchronization, and API integrations, under the permissions you grant.
